WHO WE ARE

Transport Auctions of London Ltd is a company registered in England & Wales with registration number 9773357 and referred to in this policy as 'TAL', 'we' or 'us'.

TAL is committed to maintaining the trust and confidence of our customers, of people who sign up to our mailing list or register for our auctions and of visitors to our website. We will only use the personal data you give us in order to provide the service(s) you have requested and/or, if you have asked to join our mailing list or registered for one or more of our sales, to send you sale catalogues and other details about our auctions. We will never pass your personal details to any other company or person except where required by law to do so.

We recognise that the personal data you give us are private and valuable. Your data are kept securely and under tight control.

This Privacy Policy explains how we collect and use your data, how you can ask us to let you know what information we hold about you and how you can request us at any time to stop contacting you and/or delete the information we hold on you.

TYPES OF DATA WE COLLECT AND USE

Cookies

Cookies are small files which are placed on your device's hard drive when you visit our website. Cookies help you to navigate the website and they analyse web traffic, ie the pages you visit.

Overall, cookies help us to provide you with a better website, by enabling us to monitor which pages visitors find useful and which they do not. A cookie in no way gives us access to your device nor does it identify you or give us any personal information about you.

You can choose to accept or decline cookies. Most web browsers automatically accept cookies by default, but you can modify your browser settings either to decline cookies or to delete them as soon as your browser is closed.

Google Analytics

When someone visits our website: www.transportauctionslondon.com, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Mailing List (email addresses)

As a result of persons signing up to our mailing list via our website, via our social media pages or in person at events we attend, or registering online for our sales, either on our website or via www.the-saleroom.com, or requesting information and advice about our auctions and valuation services, or becoming a buyer or vendor at one of our sales, we collect personal information (names and email addresses). We use that information to maintain a mailing list which we use for the time being to send you emails about our auctions, including the sale catalogues, dates and other details. We do not share that email address list with any other company or person.

We use a third-party provider, MailChimp, to collect and hold data for our mailing list and to deliver our emails. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our emails. For more information, please see MailChimp’s privacy policy. Customer Data

When you ask us to perform services on your behalf, in other words when you either consign items to us to be sold in our auctions or you register to bid in our auctions, either in person in our saleroom or as an absentee bidder, we will collect and store your personal data which will include your name, postal and email address, telephone numbers, bank and/or payment-card details.

We only use these data to provide you with the service you have requested and to communicate with you in connection therewith. Your data are not shared with any other company or person other than our third-party software provider - see next section - or as may be required by law.

Auction Technology Group ('ATG') - GAP Office

We use an online third-party service, ATG Gap Office, to store and process personal data relating to customers who are buyers and sellers in our sales. The use of this software service enables us to provide the services requested by our customers including the production of seller statements and buyer invoices and the compilation of sale catalogues. Personal data in GAP Office is retained for up to 5 years on a rolling basis after the customer's last activity with us.

ATG issued the following statement in March 2018 regarding security: GAP Office is hosted on Microsoft's Azure cloud technology. Microsoft has leveraged its decades-long experience of building software and running some of the world's largest online services to create industry-leading security technologies and practices. These help to ensure that the Azure infrastructure is resilient to attack, as well as safeguarding user-access to the Azure environment and helping keep customer data secure.

Auction Technology Group ('ATG') - www.thesaleroom.com

We subscribe to a third-party service to enable prospective bidders in our sales to register online, view the sale catalogues and enter bids before and during the sales. Although we can view some of the personal data held there (so that we can authorise bids or otherwise), we are not the data controller for those records and ATG is responsible for data protection in this regard. HOW WE PROTECT YOUR PERSONAL INFORMATION

We will treat your data with the utmost care and take all appropriate steps to protect them. We do not store data on our website and, apart from the third-party services described above, no data are stored online. Data stored and used by us are kept on a remote server, access to which is password-controlled.

ACCESS TO YOUR PERSONAL INFORMATION

You are entitled at any time, free of charge, to view, amend, or delete the personal information that we hold about you. Email your request to us at enquiries@transportauctionslondon.com or you can write to us at Transport Auctions of London Ltd, Hamilton House, 87-89 Bell Street, Reigate RH2 7AN.

RETENTION OF YOUR PERSONAL INFORMATION

Whenever we collect or process your personal data, we’ll only keep them for as long as is necessary for the purpose for which they were collected. For example, bidder and vendor information will be kept for 5 years on a rolling basis from the last time you asked us to carry out a service on your behalf in order to make things easier for you in the event of repeat business or in case of any queries arising. Mailing list information will be retained for the time being unless you ask us to stop emailing you.

At the end of the retention period, your data will be deleted.

CHANGES TO THIS PRIVACY POLICY

This Privacy Policy was reviewed in November 2023. It will be reviewed at least once every twelve months.
